The operations team is focused on overseeing and optimizing the details that keep the Beauceron pack running smoothly. The Administrative Assistant will have variety day-to-day, with a balance of external interactions, internal collaboration and focused work time. They will work closely with executives and teams all across the company, so it’s a great opportunity to gain exposure to many different facets of the business.
The Administrative Assistant will work from Beauceron Security’s Fredericton, NB office and report to the Director of Operations & Compliance.
Responsibilities:
- Responsible for performing administrative tasks, including:
-
- managing inboxes and calendars in O365;
- making travel and accommodation arrangements;
- taking meeting notes; and
- organizing and maintaining the office filing system.
- Responsible for managing office logistics, such as:
-
- keeping fridges, office supplies and promotional materials stocked;
- being the primary point of contact for the office cleaners and landlord; and
- contributing to the organization of employee appreciation events.
- Responsible for acting as the primary external-facing point of contact for Beauceron by:
-
- managing the office phoneline and email address; and
- managing the reception area to ensure guests follow security procedures and practices.
- Supports the Finance team by:
-
- e-filing and coding receipts;
- collecting mail; and
- making deposits.
- Supports Operations team as needed.
- Other duties as assigned.
Qualifications:
- Exceptional attention to detail
- Excellent written communication skills
- Outstanding organization and time management skills
- Administrative work experience as an executive assistant, office manager, or administrative assistant
