The operations team is focused on overseeing and optimizing the details that keep the Beauceron pack running smoothly. This might be the right opportunity for you if you’re detail oriented, organized, and a quick learner. The Administrative Assistant will have variety day-to-day, with a balance of external interactions, internal collaboration and focused work time. They will work closely with executives and teams all across the company, so it’s a great opportunity to gain exposure to many different facets of the business.

The Administrative Assistant will work from Beauceron Security’s Fredericton, NB office and report to the Director of Operations & Compliance.

Responsibilities:

  • Responsible for performing administrative tasks, including:
    • managing inboxes and calendars in O365;
    • making travel and accommodation arrangements;
    • taking meeting notes; and
    • organizing and maintaining the office filing system.
  • Responsible for managing office logistics, such as:
    • keeping fridges, office supplies and promotional materials stocked;
    • being the primary point of contact for the office cleaners and landlord; and
    • contributing to the organization of employee appreciation events.
  • Responsible for acting as the primary external-facing point of contact for Beauceron by:
    • managing the office phoneline and email address; and
    • managing the reception area to ensure guests follow security procedures and practices.
  • Supports the Finance team by:
    • e-filing and coding receipts;
    • collecting mail; and
    • making deposits.
  • Supports Operations team as needed.
  • Other duties as assigned.

Qualifications:

  • Exceptional attention to detail
  • Excellent written communication skills
  • Outstanding organization and time management skills
  • Administrative work experience as an executive assistant, office manager, or administrative assistant
