Reporting to the General Manager, the Operations Coordinator is responsible
for the planning and coordination of Harvest Music Festival logistical operations. The
Operations Coordinator has primary responsibilities across the event delivery and
infrastructure functions and is expected to coordinate activities in a manner consistent
with the direction of the General Manager and of the Board of Directors. The Operations
Coordinator may supervise seasonal staff including, but not limited to: Operations
Assistant, Green Team Assistant.
Duties and Responsibilities:
Subject to Board approval and oversight by the General
Manager, the Operations Coordinator is responsible and accountable for the following
festival functions:
● Plan and oversee the logistics of the annual festival as well as other music events
planned throughout the year, evaluating and reporting on results
● Implement and monitor event operational plan and timelines
● Venue and admissions infrastructure
o Provide leadership and support to Infrastructure committee
o Develop updated venue and site maps
o Bar infrastructure and set-up
o Greenroom and side stage infrastructure, set up and planning
o Street experience infrastructure and logistics, including secondary stages,
street bars, sponsor activations, and vendor set-up
o Coordination and oversight of paid festival labour (506 Crew, etc.)
o Coordination and oversight of security (paid and volunteer)
● Coordination and oversight of Safe Ride program
● Securing required annual municipal and provincial licenses and permits
● Supplier relationships; costing and procurement of required supplies and
materials
● Coordinate with Sales Manager to understand relationships with supply
sponsorships
● Maintenance of festival assets and property; maintain and inventory operational
items (signage, tables, fixtures, etc.)
● Facilitate Green Team festival delivery
● Other functions as assigned by the Board of Directors
The Operations Coordinator will play a secondary or supporting role in the following
areas:
● Retail sales set-up
● External and on-site marketing; ensure signage needs are met
● Other functions as assigned by the Board of Directors
In addition to the above, the Operations Coordinator is also responsible and accountable
for the following administrative functions:
● Attending meetings of the Board of Directors upon request and other committee
meetings as assigned (Infrastructure, Street Experience, Patron Experience,
Sponsorship)
● Completing and processing grant applications as assigned
● Responsible for the development and monitoring of work plans, in conjunction
with the General Manager, for seasonal staff.

● Have a passion for live music, arts, and culture
● Have experience in all aspects of executing large, high-profile events while
managing diverse portfolio of responsibilities
● Have an unmatched attention to detail and can organize, manage time
effectively, and multitask
● Can successfully manage multiple projects and competing deadlines in a

● Have excellent computer skills and proficient in Google Suite products
● Are available to work evenings and weekends, as the need arises
Term:
April 1st – October 25th, 2024 (7 months) with the possibility of full-time
extension. The Operations Coordinator is expected to work 35 hours/week.
